Adding Closed Caption file to YouTube or Office Mix

If you create a voice-over PowerPoint (VOPPT) or video, best practice highly recommends that you provide closed captions when you publish it to the world (or your class). Follow these steps below in order to convert your transcript to closed captions.

Note: If you do not have a transcript, there are additional paid resources that can transcribe for you, or you can use YouTube's auto-transcription to get most of your presentation transcribed, and then do some manual editing.

Directions for YouTube


  1. Have your completed transcript and your video ready to upload to YouTube (How to convert VOPPT to video). The transcript should be in a Word file or text file and video in mp4 format (preferably).
  2. Log into YouTube and upload your video file. This will take some time to process.
  3. Go to your Video Manager in YouTube.
  4. Select "Edit » Subtitles/CC" for the video you are adding captions.
  5. Choose "Add new subtitles or CC" button, and choose "English."
  6. Choose "Transcribe and auto-sync" button
  7. Copy and Paste your text into the box or choose "Actions » Upload a File". Then, click "Set timings" in order to process and sync text with video.
  8. This process will that some time for YouTube to sync. The button will become green when completed. You will notice that YouTube has an Automatic process, but this will not be as accurate as your transcript.
  9. Review your video now with captions and make any changes necessary. Finalize your captions by clicking the "Unpublished" button. If you make additional changes, you will have to publish again.
  10. You can now share your YouTube video will captions.

Directions for Office Mix

Office Mix is an awesome add-in to PowerPoint to make your presentations more interactive with video, quizzes, and markups. Click here to learn more about mix and how to add it in PowerPoint.


  1. Once you have completed your VOPPT, you will have to upload to the Mix website. Click the "Upload to Office Mix" button.
  2. A side bar on the right will appear. Select "Next."
  3. You'll need to sign in with your Office 365 account to continue. Once you have signed-in, select "I'm uploading a new mix." and make sure to check the "Enable playback on mobile devices" box and click "Next". This will convert your VOPPT to a video. So, this process will take some time to generate the video.
     
  4. Once done processing, click the "Show me my mix" to continue to the Office Mix website to access your uploaded presentation.
  5. On the Mix website.
    1. Update the Title
    2. Set the Category and add Tags
    3. Set permissions to "Unlisted" to enable sharing
    4. Here is the link you will copy to share
    5. Click "Download Video" to get a copy of the video
    6. You will click this button when you have your caption file ready to upload (in step 10).
  6. As PowerPoint and Mix do not caption your presentation, you will need to download the video and upload to YouTube. Follow the directions above to caption your video in YouTube.
  7. In YouTube, you will need to download the caption file. Go to "Actions" and select "Download -> .vtt"
  8. Now, you will need to convert the .vtt to a .ttml file for Mix. Go to: https://gotranscript.com/subtitle-converter and upload the .vtt file, select the "Timed Text 1.0" format, and then "Convert" button.
  9. The downloaded file will be an .xml file type (probably called "captions.vtt.xml"). You will need to can the file type to .ttml by simple renaming the file to captions.ttml.
  10. Finally, go back to the Mix website, and upload the .ttml file.
